Cougar Mountain Denali vs QuickBooks Online: Fund Accounting, Users, Support and When to Switch

Cougar Mountain’s Denali is modular, mostly on-premise accounting with true fund accounting built in; QuickBooks Online is a cloud subscription that handles funds with classes and bank sub-accounts. If your funders require encumbrances and spend control by fund, Denali Fund does that natively. If you need cloud access, bank feeds and an accountant who already knows the software, QuickBooks Online Plus or Advanced usually fits, as long as your fund count stays inside the plan’s class limit. What each product is built for

Denali is sold as modules: General Ledger, Bank Reconciliation, Accounts Payable, Accounts Receivable, Payroll, Inventory, Order Entry, Purchase Order and Job Cost. Cougar Mountain packages them two ways. Denali Fund is the nonprofit edition, with fund tracking, encumbrances and what the vendor calls FASB-compliant reports. Denali Business is sold in three bundles: Basecamp (GL, bank reconciliation, AP, AR, controller), Ascent (adds inventory, order entry and Crystal Reports) and Summit (adds purchase orders, payroll, multi-location inventory and Aatrix tax forms). The core product runs on your own server. Denali Web is the browser version, and Cougar Mountain says Denali Desktop data moves across to it in full.

Some modules depend on others: Cougar Mountain’s FAQ says Job Cost requires Order Entry, and Purchase Order bought alone has no lookups into Inventory or AP. Price the whole set you need.

QuickBooks Online is a cloud subscription in tiers. For a nonprofit, the tiers that matter are Plus and Advanced, because class tracking (the feature Intuit uses for funds) is not available on Simple Start or Essentials.

Fund accounting: native funds against classes

This is the real difference. Denali Fund tracks each fund on its own and lets you encumber money, which means setting aside part of a grant for a planned expense before you spend it. That is what many government and foundation grants expect to see.

Intuit’s own help article on fund accounting (updated August 5, 2026) gives four steps in QuickBooks Online: turn on class tracking, set up one class for each fund, optionally split the bank account into one sub-account per fund, and run Profit and Loss by Class with “All Dates” selected to see the life of each fund. The article does not describe an encumbrance feature. Nothing in those steps stops a bill posting to a class whose grant is already spent. In QuickBooks, that control is your monthly review, not the software.

The same article says municipalities under GASB 34 have stricter asset-inventory rules and that QuickBooks Online is better suited to nonprofits without them. If you report under GASB, have your auditor confirm the setup before you change systems.

Then there is the class limit. Intuit’s usage-limits article (updated August 5, 2026) gives QuickBooks Online Plus 40 classes and locations combined, with no option to buy more. Advanced has no limit.

How each counts users and charges for help

Cougar Mountain’s pre-sales FAQ is unusually direct. On-premise users are counted by simultaneous logins: once you hit your licensed number, the next person waits. Cloud users are counted by named user, and Denali Web supports up to 50 connected users. Support is billed by time, with a 10-minute minimum and then one-minute increments. Training has a minimum of 8 hours per order, and Cougar Mountain recommends 16 to 24 hours. Updates come out roughly once a quarter. Pricing is a custom quote from an account executive.

QuickBooks Online Plus includes 5 billable users and Advanced includes 25, according to Intuit. Both allow unlimited reports-only and time-tracking-only users, so board members and program staff who only need reports don’t use a paid seat. Plus caps the chart of accounts at 250 accounts, and Advanced has no cap. Intuit publishes plan prices; check them the day you decide.

A worked example, with no prices

A nonprofit with 30 staff runs 22 restricted grants, 6 programs and 3 sites. In QuickBooks Online, that is 31 classes and locations, which fits inside the Plus limit of 40 with room for nine more grants. If it wins 12 more grants next year, it reaches 43 and has to choose: move to Advanced, or merge small grants into one class and track the detail somewhere else. Neither is a disaster, but price Advanced in from the start if the grant count is growing.

On Denali Fund there is no class ceiling. The costs show up elsewhere: a quoted licence per module, support billed by the minute, and on-premise logins that make a fourth bookkeeper wait if three seats are licensed. Count last year’s support calls and simultaneous users before you compare.

When to stay on Denali, and when to switch

We have moved nonprofits off older desktop systems before, including a conservation nonprofit from Sage BusinessWorks to QuickBooks Online. The ledger moves cleanly; the real work is mapping funds to classes and restricted balances to equity accounts your auditor recognizes.

What converts, and what to check first

General ledger history, customers and donors, vendors, open receivables and payables, and bank balances all move across. Three things need a decision before migration day:

Can QuickBooks Online do fund accounting?

Yes, with class tracking and bank sub-accounts on Plus or Advanced. Intuit’s own steps set up one class per fund and report fund activity with Profit and Loss by Class. Intuit’s article does not describe encumbrances or block spending when a fund runs out.

How many funds can QuickBooks Online Plus track?

Plus allows 40 classes and locations combined, with no add-on to raise the limit. QuickBooks Online Advanced has unlimited classes and locations.

How much does Cougar Mountain Denali cost?

Will my Denali history come across to QuickBooks?

The ledger, lists, open items and bank balances do. Encumbrances have no QuickBooks equivalent, so export them, handle them as purchase orders or a budget, and keep the Denali reports for your auditor.
