ZipBooks is an invoicing-first ledger with a free plan; QuickBooks Online is the full small-business ledger most US bookkeepers and CPAs work in. Stay on ZipBooks if you send invoices, connect one or two bank accounts and hand a clean report to your accountant once a year. Move to QuickBooks Online when you need inventory, bills to pay on terms, class or location reporting your CPA can use, or a file in the software your accountant already works in. ZipBooks. ZipBooks describes its accounting as “a complete but dead-simple accounting solution.” Its pricing page shows four plans:
The feature table also lists 1099 tracking, multi-currency invoicing, cash and accrual reporting, and a Gusto integration for payroll. It does not list inventory, purchase orders or bill entry with an accounts-payable aging.
QuickBooks Online. Intuit sells four main plans: Simple Start, Essentials, Plus and Advanced. Intuit’s usage-limits article sets the caps. Billable users are 1, 3, 5 and 25. Classes and locations are not available on Simple Start or Essentials; Plus allows 40 combined, and Advanced is unlimited. The chart of accounts is capped at 250 accounts on every plan except Advanced. Inventory is part of Plus and Advanced. Intuit now also sells inventory tracking as an add-on subscription for Simple Start and Essentials.

Check these against your last 12 months, not against a feature brochure.
None of the five? ZipBooks is probably doing its job. Two or more is usually the point where a move pays for itself in bookkeeping hours.
ZipBooks’ help centre explains two export routes. The General Journal report under Reports, Accounting and Tax exports your transactions as a CSV file. A one-click full export from the Transactions page is available only on the Sophisticated plan. Financial reports export as PDF or CSV.
Pick a cutover date at a month or quarter end, reconcile every bank account in ZipBooks to that date, and export after the lock. Your opening trial balance in QuickBooks should then match ZipBooks exactly.
Stay if you’re a service business with no stock, few vendor bills, one or two bank accounts, and an accountant happy with a year-end export. Switching then adds a subscription and a learning curve, with nothing to show for it.
The Starter plan is listed as free on ZipBooks’ pricing page. It includes unlimited invoices, Square or PayPal payments, basic reports and one connected bank account. Recurring invoices, more bank accounts, team members, tagging and locked books are on the paid Smarter and Sophisticated plans.
Inventory is not on ZipBooks’ published feature list. QuickBooks Online includes inventory on Plus and Advanced. Intuit also sells inventory tracking as an add-on for Simple Start and Essentials.
Run the General Journal report under Reports, Accounting and Tax, and select Export to download a CSV file. A one-click export of every transaction from the Transactions page is available only on the Sophisticated plan.
Usually classes or locations. QuickBooks Online Plus allows 40 classes and locations combined, and Advanced has no limit. If you use more tags than that, merge them before the move.
