Short answer: FreshBooks prices by how many clients you bill; Zoho Books prices by how many people use it and how many documents you create. FreshBooks Lite is $23 a month for five billable clients, Plus is $43 for fifty, and Premium is $70 for unlimited — and every extra team member is $11 a month on every plan. Zoho Books is free below $50,000 of annual revenue for one user plus an accountant, then $20 a month for three users and 5,000 invoices a year, $50 for five users with inventory and purchase orders, $70 for ten users. For a solo freelancer with a handful of clients the two are close; for a three-person service business with thirty clients, Zoho Books costs roughly a third of FreshBooks over 24 months. The catch is that neither is where a business with inventory at scale, in-ledger US payroll or a QuickBooks-literate CPA ends up.
FreshBooks was built for invoicing first and accounting second, and its pricing page still reads that way: the headline on each plan is “Send invoices to 5 clients” or “50 clients” or “unlimited clients.” Time tracking, proposals, estimates and a client portal are on every plan. Double-entry accounting reports do not appear until Plus, and accounts payable does not appear until Premium. The client limit, in FreshBooks’ own words, counts both active and archived clients, so a consultant who has worked with twelve companies over two years is past Lite even if only four are current.
Zoho Books was built as the accounting module of a wider suite, which is why the plan ladder is about capacity rather than clients: users, invoices per year, bills per year, and the point at which purchase orders, multi-currency, inventory and project profitability switch on (Professional, $50). There is no client cap on any plan. What it lacks is FreshBooks’ polish for the person who mostly wants to send an invoice and get paid; what it has is a real general ledger from the free plan up.

FreshBooks’ limit is clients and seats. Because archived clients count, the cap creeps up on you; because every additional login is $11, a bookkeeper plus an office manager plus the owner turns a $43 plan into $65. Zoho Books’ limit is documents and users, and it is generous: 5,000 invoices a year on the $20 plan is more than most service businesses send in a decade. Where Zoho bites is at the feature gates — if you need purchase orders or multi-currency you are on Professional at $50, and the Bill Pay add-on for ACH vendor payments is another $69 a month ($59 annual).
Use list prices and your own client and user counts. A solo consultant with four current clients and nothing archived pays $23 × 24 = $552 on FreshBooks Lite, and gets no double-entry reports; on Zoho Books Free, if revenue is under $50,000, the 24-month cost is $0, and the general ledger is included. Above $50,000 the Zoho figure becomes $20 × 24 = $480.
A three-person agency with thirty clients on the books needs FreshBooks Plus at $43 plus two team members at $22, or $65 a month: $1,560 over 24 months. Zoho Books Standard includes three users at $20 a month: $480. If the agency wants project profitability and purchase orders, Professional at $50 makes it $1,200 — still under FreshBooks, with two spare seats.
The same agency two years later with sixty clients, five staff and vendor bills to pay is on FreshBooks Premium at $70 plus four seats at $44, or $114 a month: $2,736 over 24 months. Zoho Books Professional with five users is $50: $1,200. Add Bill Pay and it is $119 a month, $2,856 — the two products cross only when Zoho’s paid add-ons come in.
In either direction the chart of accounts, customers, vendors, open invoices and bills, and the bank transactions move; the destination’s feature gates decide what else survives. Moving FreshBooks to Zoho Books, time entries and proposals are re-created rather than converted, and FreshBooks’ client-side card details do not travel. Moving Zoho Books to FreshBooks, inventory, purchase orders and multi-currency balances have nowhere to land unless you are on Premium and willing to rebuild. Moving either to QuickBooks Online, a managed conversion loads the history with opening balances reconciled to the source’s ending bank balances; Zoho Books to QuickBooks Online and FreshBooks to QuickBooks set out each scope and fixed price.
Yes, for organisations with revenue under $50,000 in the financial year, one user plus one accountant, and up to 1,000 invoices and 1,000 expenses a year. Zoho’s FAQ says the free plan is available indefinitely as long as revenue stays under the threshold. Add-ons other than document autoscans are not available on Free.
Not in reports. FreshBooks’ plan comparison shows double-entry accounting reports on Plus and above, and accounts payable on Premium and above. Lite is an invoicing and expense tracker with a profit-and-loss view.
Zoho Books Standard includes three users at $20 a month. FreshBooks Plus is $43 plus $11 for each of the two additional team members, $65 a month. Over 24 months that is $480 against $1,560, before annual discounts.
If you already know you will need inventory across locations, in-ledger payroll, class or location tracking, or a CPA who works in QuickBooks, going straight to QuickBooks Online avoids a second migration. If the need is invoicing, bank reconciliation and clean statements for a Schedule C or a single-member LLC, either of these will do the job for less.
