If your books are invoices, expenses, bank feeds and a monthly reconciliation, Patriot Accounting Premium does that job for $30 a month, against $140 for QuickBooks Online Plus. You outgrow Patriot when you need inventory quantities and cost of goods, project profitability, budgets, or two ways to slice the P&L at once. Payroll is a separate decision: Patriot says its payroll integrates with QuickBooks Online, so the books can move without a mid-year payroll switch. Patriot Accounting is the accounting half of a US small-business payroll company. Two plans, both flat monthly fees: Accounting Basic at $20 and Accounting Premium at $30, with 30 days free and then 50% off for three months. Basic covers unlimited customers and invoices, unlimited vendors and contractor payments, bank imports, income and expense tracking, card payments through Stripe, reporting and reconciliation. Premium adds estimates, recurring invoices, payment reminders, user permissions, document storage and subaccounts up to eight levels deep. Patriot’s accounting feature list includes unlimited users and US-based phone, chat and email support, 9 a.m. to 7 p.m. Eastern, Monday to Friday.
QuickBooks Online is priced by plan and by seat. Intuit’s pricing page lists Simple Start at $38 a month for 1 user, Essentials at $85 for 3, Plus at $140 for 5 and Advanced at $340 for 25, each 50% off for three months, plus a $0 Free plan for one user that sends two invoices a month and has no accountant access. Inventory, budgets, project profitability and classes and locations (40 combined) start at Plus.

The product record is the detail most comparisons miss. Patriot’s own help article lists every field on a product or service: a description of up to 40 characters that cannot be changed once used on an invoice, an optional default price, a unit of measure, a sales-tax checkbox and an income account. There is no quantity on hand and no cost field, so there is nothing for cost of goods sold to post from. If you sell stock, that is the whole decision.
At published list prices, with each vendor’s three-month half-price offer applied and no price change assumed for two years:

The comparison that matters is Patriot Premium against QuickBooks Online Plus, because Plus is the first plan that does what Patriot cannot. The gap is $2,475 over 24 months, about $103 a month. That is the number to test your workarounds against.
Worked example, illustrative figures: a small parts distributor on Patriot Premium keeps stock counts in a spreadsheet and books cost of goods with a month-end journal. Its bookkeeper spends four hours a month on that, at $35 an hour, which is $140 a month, already more than the $103 gap, before counting the risk of a margin figure that is only right once a month. A design studio on the same plan with no stock, no projects to cost and two people in the books has no workaround to pay for, and Patriot is simply the cheaper correct answer.
Two cautions on the QuickBooks column. Intuit has raised QuickBooks Online prices before, so check our QuickBooks Online price increase notes before you budget year two. And user seats are capped by plan: a business that needs six people in the books is on Plus at minimum, where Patriot charges nothing extra for users.
Service businesses with simple invoicing, many people who need read or entry access, and an owner who values a US support line over features. If none of the five signs apply, moving costs you a conversion and roughly $2,500 more over two years for features you will not use.
Patriot’s pricing page says its payroll “integrate[s] with QuickBooks Desktop or QuickBooks Online.” That changes the timing question. You can move the general ledger to QuickBooks Online at any month-end and keep running Patriot Basic Payroll ($17 a month plus $4 per worker paid) or Full Service Payroll ($37 plus $5 per worker), with the year’s quarterly and W-2 filings staying in one system. If you later move payroll as well, do it at a quarter or year boundary so no quarter’s 941 is split across two providers; our payroll team handles that changeover separately.
