Migrating from QuickBooks to Zoho Books: What Transfers, What Doesn’t, and the Order to Import It

Yes, you can move from QuickBooks to Zoho Books, but there is no button that copies one file into the other. You export lists and reports from QuickBooks, import them into Zoho Books in a fixed order (chart of accounts, contacts, items, opening balances, then transactions), and prove the trial balance matches on the migration date. Zoho offers free migration help for QuickBooks Online and Desktop customers; whether you use it, do it yourself or hire a specialist, the reconciliation at the end is the part that decides whether the move worked. Step 1: export everything from QuickBooks before you touch Zoho

In QuickBooks Online, Intuit’s export article (updated 3 August 2026) has you go to Settings › Tools › Export data, pick a date range, switch reports and lists on or off, and export them as Excel files in a single .zip. Several things need their own exports:

Also run and save a trial balance, AR aging and AP aging as of the date you plan to start in Zoho. Those three reports are your proof later. On QuickBooks Desktop, export the same lists and reports to Excel and keep a backup of the company file as well.

Step 2: import into Zoho Books in this order

Zoho’s guide is strict about sequence, because later imports depend on earlier ones. Zoho Books accepts only CSV, TSV and XLS files.

  1. Organization profile. Name, address and fiscal year, under Settings.
  2. Chart of accounts. Zoho ships with default accounts; import only the extra ones, parent accounts before sub-accounts. Check that bank accounts came through, or you cannot enter opening balances.
  3. Settings. Turn on the modules you use, then set up taxes. Transactions imported with a tax Zoho does not recognise will create a new tax, so set yours up first.
  4. Customers and vendors. You can include each contact’s opening balance in the import file, which saves a separate AR/AP upload.
  5. Items. If you track inventory, enable it first and set the inventory start date to the same date as your opening balances. Include opening stock in the file.
  6. Opening balances. Under Settings › Opening Balances, set the Migration Date to the date of the trial balance you saved in Step 1, then enter bank, asset, liability and equity balances.
  7. Transactions, in Zoho’s order: projects, then purchase transactions, then sales transactions, then journals.

Moving history is optional. Many businesses bring over only opening balances plus open invoices and bills, and keep QuickBooks for anything older.

What does not carry over cleanly

Zoho documents a dedicated QuickBooks Online migration module with its own limitations page. The page we read is in the India edition of Zoho’s help, so confirm with Zoho whether that tool is switched on for a US organization. The limits it lists are the same things we check by hand on any QuickBooks-to-Zoho move:

Payroll history is not part of Zoho’s import sequence. Keep your QuickBooks payroll reports and year-to-date figures, and make sure your new payroll provider has them before the next filing date.

How to prove the migration worked

Run the same three reports in Zoho as of the migration date and compare them line by line with the QuickBooks versions you saved:

  1. Trial balance: every account’s debit and credit should match. A difference in one account usually traces to a default-account collision or an account-type change from the list above.
  2. AR aging: customer totals and invoice counts should match, with the same due dates.
  3. AP aging: the same check for vendors, after you have re-applied vendor credits.

Then reconcile one bank account in Zoho for the first month after the migration date.

Keep read access to QuickBooks

Do not delete anything. Intuit says that when you cancel a paid QuickBooks Online subscription you keep read-only access for one year and can export data during that year; on a trial, the window is 90 days. Export everything you might need for audits or tax questions before that year ends, and keep a QuickBooks Desktop backup indefinitely.

How do I migrate from QuickBooks to Zoho Books?

Finish by matching the trial balance and AR/AP agings in both systems.

Can I import QuickBooks Desktop data into Zoho Books?

Does Zoho migrate QuickBooks data for free?

Zoho's migration page offers free migration support and a free consultation for businesses moving from QuickBooks or Xero. You still need to check the result yourself against your QuickBooks trial balance.

What happens to my QuickBooks Online data after I switch?

Intuit says a cancelled paid subscription keeps read-only access for one year, and you can export data during that time. A cancelled trial keeps data for 90 days. Export what you need before the window closes.

Is there a QuickBooks to Zoho Books migration tool?

Zoho documents a QuickBooks Online migration module with its own limitations, such as delayed charges not importing and inactive records arriving as active. Confirm with Zoho that it is available for your organization; otherwise use the standard import screens.
