QuickBooks Enterprise vs QuickBooks Online Advanced for Companies Leaving NetSuite

Once the decision to leave NetSuite is made, the next question is which QuickBooks receives the file. The short answer: QuickBooks Online Advanced if you have 25 or fewer billable users, one or two legal entities, light inventory and a real need for deferred revenue schedules, because Advanced has a native revenue recognition feature and Enterprise does not. QuickBooks Desktop Enterprise if you run multi-location or serialized inventory, need more than 25 seats, or want intercompany transactions and consolidated reports across several company files. This comparison covers QuickBooks Online Advanced (Intuit’s top cloud tier) and QuickBooks Desktop Enterprise (Silver, Gold, Platinum and Diamond subscriptions, local or hosted) as landing systems for a company moving off Oracle NetSuite. It is not a NetSuite-versus-QuickBooks argument; that decision is covered in our NetSuite vs QuickBooks comparison. No dollar figures for either vendor appear here, and nothing is taken from review sites.

The rule of thumb, by what your NetSuite file contains

Open your NetSuite subsidiary list, your item list and your user list before you read further, because those three lists decide the answer.

Subsidiaries. One legal entity, or a parent plus one holding company, fits QuickBooks Online Advanced as one company file each. Three or more entities that trade with one another point to Enterprise Platinum or Diamond, where Intuit documents intercompany transactions and combined reporting from multiple company files, or to Intuit Enterprise Suite, the separate product Intuit positions for its highest multi-entity functionality.

Inventory. If NetSuite is tracking bins, lots, serial numbers, cycle counts or several warehouses, that maps to Enterprise’s Advanced Inventory, which Intuit includes only in Platinum and Diamond. Intuit does not list multi-site, lot or serial tracking among Online Advanced’s inventory features.

Users. Advanced allows 25 billable users plus 3 accountant users and unlimited reports-only and time-tracking-only users. QuickBooks Enterprise is licensed in 1 to 10 single-user increments, then 20 or 30 seats, and Diamond can support up to 40. A 32-person accounting and operations team has one QuickBooks option.

Cloud. Advanced is browser-based. Enterprise is Windows software; Intuit sells it with cloud hosting powered by Rightworks as a monthly add-on, which gives remote access but is still a hosted desktop, not a web app. If the team has spent years in NetSuite’s browser, the Desktop versus Online trade-off deserves a frank conversation before you commit.

Two cells deserve emphasis. First, the revenue recognition row is the single feature most likely to flip a SaaS or subscription company toward Online Advanced, and it is easy to miss because Enterprise has a longer feature list overall. Second, the consolidation row cuts the other way: Advanced is one company per subscription, so a three-entity group on Advanced is three subscriptions and a spreadsheet at month end. On controls, Online’s audit log cannot be turned off and retains two years of events, which satisfies most auditors who are nervous about leaving an ERP.

What you lose either way

Neither QuickBooks edition is an ERP, and the honest list of what stays behind in NetSuite is the same for both. Saved searches become memorized reports or custom report builder work. Custom records, scripts and workflows written in SuiteScript have no equivalent; the process moves to a connected app or to a person. Subsidiary-level books with automated eliminations and currency translation become a consolidation workbook. Multi-book accounting is gone. Approval routing exists in both editions but is simpler than NetSuite’s. Most controllers who make this move accept those losses knowingly, because the volume of transactions and the size of the team no longer justified the platform. The point of choosing the right QuickBooks is to lose only those things and not the ones you still use daily.

Two edition-specific losses matter as well. Choosing Enterprise means living in a Windows or hosted-desktop environment and paying attention to version parity across company files. Choosing Advanced means no Advanced Inventory, no intercompany module and a hard ceiling at 25 billable users, which Intuit resolves by pointing customers to Intuit Enterprise Suite rather than to a bigger Online tier.

Three scenarios we see often

An eight-user consulting firm with two subsidiaries. Both entities are US-dollar, the second exists for a single state contract, and there is no inventory. This lands in QuickBooks Online Advanced: two company files, unlimited classes for service lines, custom roles for the partners, and the revenue recognition templates for retainers billed in advance. A thirty-user distributor with three warehouses. NetSuite is tracking bins, lots and transfer orders between sites, and sales reps live on customer-specific price levels. This is Enterprise Platinum or Diamond: Advanced Inventory for the sites and lots, Advanced Pricing for the rep and customer rules, and the 30-seat licence band with room to grow to 40 on Diamond. A twelve-user SaaS company with deferred revenue. Annual contracts billed up front, recognized monthly, one entity, no inventory. Online Advanced wins outright: turn on revenue recognition, build a twelve-month straight-line template, assign it to the subscription items with a deferred revenue liability account, and the Revenue Recognition report shows billed against recognized each month. The only thing to check first is whether any contracts recognize by percentage or milestone, because Intuit documents those methods for Intuit Enterprise Suite only; if so, the schedules for those contracts stay in a spreadsheet and post as journal entries.

In every case the hard work is the migration itself: open AR and AP by entity, inventory quantities and costs as of the cutover date, fixed asset registers and the historical general ledger. That is the scope of a NetSuite to QuickBooks conversion, and it is the same effort regardless of which edition you choose, so choose on fit rather than on migration convenience.

Frequently asked questions

Does QuickBooks Online Advanced have real revenue recognition?

Yes, for straight-line schedules. Intuit's help articles, updated August 27, 2026, describe turning on revenue recognition in Account and settings, building templates that recognize evenly across periods or by number of days, assigning a template and a liability account to each product or service, and running a Revenue Recognition report. Percentage, milestone and one-time-event methods are listed as available only in Intuit Enterprise Suite.

How many users can each QuickBooks edition support?

QuickBooks Online Advanced allows 25 billable users, 3 accountant firm users and unlimited reports-only and time-tracking-only users. QuickBooks Desktop Enterprise licenses are sold in single-user increments from 1 to 10, then 20 or 30 users, and the Diamond subscription can support up to 40.

Can QuickBooks consolidate multiple NetSuite subsidiaries?

QuickBooks Desktop Enterprise can combine reports from multiple company files if all files are on the same Enterprise version and Microsoft Office is installed, and Platinum and Diamond add intercompany transactions. QuickBooks Online Advanced is one company per subscription, so consolidation happens outside the product. Intuit positions Intuit Enterprise Suite as its highest multi-entity option.

Is QuickBooks Enterprise available in the cloud?

Intuit sells QuickBooks Desktop Enterprise with cloud hosting powered by Rightworks as a monthly hosting subscription bundled with an annual Enterprise subscription paid monthly. It is remote access to the desktop software rather than a browser application. Enterprise Diamond itself is available only on a monthly payment plan.
